  • Communications: emails, form messages, support requests, feedback, survey responses

  • Event registration information: registration details and logistics information you provide

  • Improve and optimize the Site and Services (analytics, troubleshooting, product improvements)

4) Memberships, Accounts, and Restricted Content

We may use MemberPress to manage membership accounts, subscriptions, and access to member-only content. When you register or purchase a membership, we collect and store information necessary to:

  • confirm membership status and access permissions

  • administer renewals/cancellations

  • maintain records of purchases and membership history

  • provide member support and service communications


5) Payments and Billing

Payments for memberships, products, donations, or services may be processed by third-party payment processors including Stripe and PayPal.

  • We do not store full payment card numbers or complete payment credentials on our servers.

  • Payment processors may collect and process your payment information according to their own privacy policies and security practices.

  • We may receive limited payment-related information (e.g., transaction ID, payment status, subscription status, billing ZIP/postal code) to confirm payment, provide access, support refunds, and manage disputes.


6) Assessments and Results Delivery

We use Google Forms (and related Google services such as response spreadsheets) to collect assessment responses and generate results.

  • your responses to assessment questions

  • basic metadata (e.g., submission timestamp)

  • if you provide it: contact information such as email address (so we can deliver results)

How assessment data is used

Assessment data may be used to:

  • generate and deliver your results and next steps

  • improve the assessment and related resources

  • produce aggregated, de-identified trend insights (for example, overall patterns) to improve training/resources

Results delivery (email)

If you provide an email address, we may send your assessment results via email using an internal workflow that may involve automated processing (including formulas or scripts used to format results). We take reasonable steps to prevent sending incomplete results (for example, preventing blank fields from being emailed).

Confidentiality

Individual assessment responses and results are treated as confidential. We do not share individual responses with supervisors, command staff, employers, or third parties except:

  • as needed to operate the Services (e.g., service providers)

  • if required by law

  • with your explicit consent


7) Email Communications and Marketing

We use Mailchimp to manage email lists and send communications, which may include:

  • assessment results and follow-up resources

  • membership onboarding and service announcements

  • educational content, invitations (e.g., live coaching calls), and promotional messages (when permitted)

Mailchimp may process data such as your name, email address, tags/segments, and email engagement metrics (opens/clicks) to support delivery and reporting.

Your choices

  • You can opt out of marketing emails at any time by using the unsubscribe link in our emails.

  • Even if you opt out of marketing messages, we may still send transactional or service-related messages (e.g., receipts, password resets, membership access notices, assessment results you requested).


8) How We Share Information

We do not sell your personal information. We may share information in the following circumstances:

A. Service Providers

We may share information with vendors who help us operate the Site and Services, such as:

  • website hosting and infrastructure providers

  • membership management and WordPress-related tools

  • payment processors
